Policies

At Loyola University Chicago we want to ensure that you and your guests are protected against any unexpected accidents/events that may occur during your time on campus. In order to guarantee that your guests are safe we require all external groups to have general liability insurance for the duration of their event on campus.

Insurance Requirements

Daytime Meetings/Overnight Conferences

The Organization agrees to maintain, at its expense, for the period of the Conference the following insurance:

  1. Workers’ Compensation Insurance in compliance with all statutory workers’ compensation laws, and Employer’s Liability Insurance with minimum limits of $500,000 per accident for bodily injury by accident, $500,000 per employee for bodily injury by disease, and $500,000 aggregate, and including a waiver of subrogation in favor of Loyola.
  2. Commercial General Liability Insurance with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate for each occurrence of bodily injury and property damage, and including a waiver of subrogation in favor of Loyola. Coverage shall include personal and advertising injury, products-completed operations, independent contractors, and liability assumed under an insured contract. Loyola and its trustees, officers, employees, agents and affiliates shall be named as additional insureds under the Commercial General Liability Insurance. If minors are to be involved in the Conference, Sexual Molestation coverage shall be included in the Commercial General Liability Insurance or be separately provided with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate.
  3. Automobile Liability Insurance (including owned, non-owned and hired) with a minimum combined single limit of $1,000,000 for bodily injury including death and property damage liability.
  4. Umbrella/Excess Liability Insurance with minimum limits of $3,000,000 per occurrence and $3,000,000 in the aggregate excess of primary general liability insurance and on a following-form basis.

The Organization shall provide Loyola with certificates of insurance evidencing all of the above required insurance on the date it submits this signed Agreement to Loyola, which date shall be prior to the start of the Conference. The Organization agrees that such insurance will not be modified or terminated without the Organization providing Loyola with thirty (30) days’ prior written notice. All insurance shall be written by insurers licensed to do business in the State of Illinois, shall have a current minimum A. M. Best rating of A-/VII, and shall be primary with respect to any other insurance or self-insurance afforded to Loyola. If the Organization employs or otherwise engages any contractor, subcontractor, vendor, lessee or any other party in connection with the Conference, such party shall meet all of the same insurance terms as required of the Organization under this Agreement.

Wedding Receptions

The Wedding Party agrees to maintain, at its expense, for the duration of the Event, General Liability Insurance with a minimum limit of $500,000 per occurrence, and naming Loyola University Chicago as an additional insured. The required insurance shall be written by insurers licensed to do business in the State of Illinois and having a current minimum Best’s rating of A-/VII. On the date it submits this signed Agreement to Loyola, the Wedding Party will provide Loyola with a certificate of insurance evidencing the required insurance.

Daytime and Overnight Athletic Events

The Organization agrees to maintain, at its expense, for the period of the Athletic Event the following insurance:

  1. Workers’ Compensation Insurance in compliance with all statutory workers’ compensation laws, and Employer’s Liability Insurance with minimum limits of $500,000 per accident for bodily injury by accident, $500,000 per employee for bodily injury by disease, and $500,000 aggregate, and including a waiver of subrogation in favor of Loyola.

Commercial General Liability Insurance with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate for each occurrence of bodily injury and property damage, and including a waiver of subrogation in favor of Loyola. Loyola and its trustees, officers, employees, agents and affiliates shall be named as additional insureds under the Commercial General Liability Insurance. If minors are to be involved in the Athletic Event, Sexual Molestation coverage shall be included in the Commercial General Liability Insurance or be separately provided with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate.
  3. Automobile Liability Insurance (including owned, non-owned and hired) with a minimum combined single limit of $1,000,000 for bodily injury including death and property damage liability.
  4. Umbrella/Excess Liability Insurance with minimum limits of $3,000,000 per occurrence and $3,000,000 in the aggregate excess of primary general liability insurance and on a following-form basis.

The Organization shall provide Loyola with certificates of insurance evidencing all of the above required insurance on the date it submits this signed Agreement to Loyola, which date shall be prior to the start of the Athletic Event. The Organization agrees that such insurance will not be modified or terminated without the Organization providing Loyola with thirty (30) days’ prior written notice. Best rating of A-/VII, and shall be primary with respect to any other insurance or self-insurance afforded to Loyola. Overnight Housing

The Organization agrees to maintain, at its expense, during the Term, the following insurance:

  1. Commercial General Liability Insurance with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate for each occurrence of bodily injury and property damage, and including a waiver of subrogation in favor of Loyola. Coverage shall include personal and advertising injury, products-completed operations, independent contractors, and liability assumed under an insured contract. Loyola and its trustees, officers, employees, agents and affiliates shall be named as additional insureds under the Commercial General Liability Insurance. If minor Permitted Occupants or other minors are present in or otherwise use the Rooms or the Residence Facility, then Sexual Molestation Coverage shall be included in the Commercial General Liability Insurance or be separately provided with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate.
  2. Umbrella/Excess Liability Insurance with minimum limits of $3,000,000 per occurrence and $3,000,000 in the aggregate excess of primary general liability insurance and on a following-form basis.

At its option, the Organization, and/or its Permitted Occupants, may wish to obtain personal property insurance covering loss or damage to its/their personal property which is not the responsibility of Loyola, as further described in Section 14 below.

Loyola University Chicago-Campus Space Usage Policy

Preamble

Loyola University Chicago strives to be a welcoming community and advance discussion, learning, and engagement through the use of its facilities on five campuses.  Each year, Loyola welcomes conferences, seminars, community meetings, and speaker presentations that advance our common interests in the pursuit of knowledge and encourage dialogue and discussion on a variety of topics.

With over 2 million square feet of space across the Water Tower and Lake Shore Campuses alone, the university also has an obligation to ensure that its facilities are well maintained and secured, that the needs of our guests on our campuses are met, and that, in doing so,  the university is appropriately prepared, compensated, and protected.

The Campus Space Usage Policy is intended to ensure that Loyola can continue to serve the various needs of our campus community while at the same time outlining specific protocols that will help sponsors, planners, and event organizers appropriately consider the operational impact, cost and advance notification necessary for a successful event.

Overall Policy Statement

Ownership of all Loyola University Chicago space/facilities belongs to the University, rather than individuals, units, or departments. It is assigned for specific functions that support Loyola’s educational mission and strategic goals set by the University.

The use of University-owned facilities is primarily reserved for students, faculty, and staff in the normal daily operations of our educational enterprise.  Events, conferences, seminars, and talks that complement our educational landscape will be accommodated if appropriate on-campus space is available and under the parameters of this Campus Space Usage Policy.  The university president and provosts reserve the right to deny access and use of university facilities for any event, conference, seminar, or talk they believe is inconsistent with Loyola’s Jesuit and Catholic identity and mission. All properties, buildings, and spaces (both indoors & outdoors) on all campuses are included in this policy.

The use of university space is a privilege.  It comes with the expectation that the individual department, school, or division using or sponsoring the use of the space:

  • RESPECT university property, and;
  • RECOGNIZE that the set-up, security, insurance, guest and participant accommodations, and audio-visual support do not come without cost. 

Space Usage Categories

Internal university use- The event, performance, conference, seminar, talk, etc. is presented by and attended by faculty, staff, or students of Loyola only.  The event is not open to the general public or any other group other than faculty, staff, or students. No registration fees, conference fees, or membership fees are required for anyone to attend the event and the appropriate university department is primarily responsible for the program, its promotion, and execution.  It is typically hosted by an academic department, student organization, services unit, or division. External sponsorships are not permitted; this would also include an outside organization to pay for the catering of an event and to reimburse the department hosting the event.

Sponsored event- The event, performance, conference, seminar, talk, etc. is hosted by an appropriate University department or departments, school, division, or student organization and may be promoted and marketed to a broad external group, typically, but not always listed under the name of an association or agency, (e.g. Society of Professional Journalists, American Association of Accounting Professionals, Society of Historians, etc.)  Typically, but not always membership in an organization, conference, or admission fee is charged to attend.  Speakers and/or guests must also include Loyola faculty, staff or students. For they category to apply, the hosting department must be present during the event and work with Conference Services on logistics. If not, it is considered an external event/activity.

External event- The event, performance, conference, seminar, talk, etc. is promoted and executed by an external organization or association that desires to use the University’s facilities, housing accommodations and other amenities for its program.  Loyola students, faculty or staff may or may not have an interest or role in the program and typically, but not always, registration fees, membership, or admission fees are charged by the organizers of the event.

Fees, insurance, and guest accommodations

The set-up, usage, cleaning, and maintenance of university space are handled through the facilities department and our outside housekeeping contractor, Millard Services.  Fees may be incurred for room preparation and take-downs for internal and co-sponsored events if they exceed the standard room setup or require support beyond the capabilities of the space.  However, to encourage academic departments, divisions, and schools to engage with outside associations and bring them to Loyola and Chicago to host their events, Conference Services can assist and has instituted a two-tiered rate structure for room rental fees, clean-up, and associated requirements.

Fees

Internal events – Most setups are complimentary especially if an event uses the existing standard room setups.  Additional fees may apply if the setup exceeds the existing configuration capabilities. If equipment and resources are brought in to support the event, the sponsoring department will be notified of additional expenses and will have the option to work with the existing university resources or assume payment responsibilities for the additional support.

Sponsored events -rates apply to those sponsored events hosted on campus by a University department or departments, school, division, or student organization and are designed to cover the actual costs only of personnel and set-up and takedown of requested rooms.  Typically fees are 50% of the external event rate.

External events - rates apply to those external events whose organizations contact conference services directly for use of our space, campus amenities, and, in some cases, overnight accommodations, for their members or audience.  These rates are competitive with other conference venues in Chicago including local hotels.            

Insurance

Certificates of Insurance must be provided for any sponsored or conference event held on any of Loyola University’s campuses.  Conference Services is equipped to answer questions on the form and requirements of such insurance certificates.

Guest accommodations

Sponsored or conference events are expected to work with Conference Services to address any needed guest accommodations such as parking, overnight rooms or special needs.  Unless otherwise negotiated via a Conference Services agreement, all guests will be responsible for the cost of any on-campus parking, overnight accommodations or other special requirements.

Alcohol

  • Open alcohol is strictly prohibited in the common areas of the campus.
  • Exceptions to this include Ireland’s (lower level) and event spaces that have a catered alcohol presence
  • The sale of alcohol is only to be tendered by Ireland’s staff in Ireland’s and LU’s Deli staff at LU’s Deli (Terry Student Center). All other event spaces on campus must have their alcohol catered by Aramark.

Camera and Video Recording

  • Filming on Loyola’s campuses are only allowed with proper clearance from Conference Services and a filming contract will be issued and fees will be assessed.
  • All Loyola staff, faculty, and students must give verbal and/or written consent to be video recorded.

Catering

  • Loyola University Chicago’s preferred caterer is Aramark. No external food or beverages may be brought on campus. For more information please contact Loyola’s Catering Department at 773.508.6035 or catering@luc.edu.

Children

  • Children under the age of 13 years of age should not be left unattended at any time and should have appropriate adult supervision while on campus.

Decorations (Events)

  • Under no circumstances should anyone tape or affix decorations to any wall, railing, wood, metal, glass, paint, ceilings, floors, etc.
  • Balloons are prohibited on campus. Loyola University Chicago does not permit balloons within buildings or released into the outdoors since they become trash in Lake Michigan and endanger wildlife.
  • No rice or corn may be thrown at weddings/ events on campus as this endangers wildlife.
  • Open flames are not permitted in most buildings on campus. All requests for open flame must be made in writing to Conference Services administration for review.
  • All decorations must be completely removed and cleaned after an event. Failure to do so may result in a clean-up fee.
  • All decorations must be flame retardant.
  • The use of glue, thumbtacks, or adhesive on the walls, ceilings, frames, columns, or staging for attaching any materials are not permitted unless by special permission from Conference Services administration.
  • The use of paint (outside of banner décor) is prohibited on campus.
  • Smoke or fog machines are not permitted unless approval is gained from Conference Services administration.
  • No chalk or stickers may be used on campus sidewalks.
  • Suspending materials from the ceiling or light fixtures is prohibited, as are decorations, displays, or exhibits that require a flame.
  • All delivery of items is the responsibility of the organizers of the event and a designated individual from the event must be present to receive the delivery.

EMS Services

  • Campus Safety is the sole provider of EMS services on campus.
  • Conference Services administration may determine, without the consent of an event organizer, that an event requires EMS services. In this event, Conference Services administration will render payment for these services (if necessary).
  • Event organizers interested in acquiring EMS services for their can contact Conference Services administration.

Elevators

  • Loyola Facilities Management and Engineering departments control the use of elevators on Loyola’s campus.
  • Please report all elevator issues to Conference Services staff who will notify Facilities Management of the issue immediately.
  • In the event that you are stuck in an elevator, please call for assistance using the RED emergency call button located within each elevator.
  • In the event that an elevator is not functioning, please notify Conference Services staff/administration immediately.

Film Screening

  • The screening of any copyrighted movie is illegal without obtaining the Public Performance Rights for the film. This policy pertains to all spaces on campus.
  • Showing films as part of a class or for instructional purposes is allowed, and Performance Rights are not needed (face-to-face exemption).

Open Flames

  • Open flames within campus venues are prohibited unless approval is granted by Conference Services administration.
  • Exceptions may be given for religious events and programs and catered events (heat).
  • In the event of approval of open flame, groups must make every reasonable attempt to conceal the flame in a safe way (height, width, location of flame).

Parking

  • When planning or attending an event on campus, all guests must park in accordance with University parking policies available from Loyola University Chicago Parking Services. These policies can be found at: www.luc.edu/parking
  • Loyola has 2 main parking garages (Lake Shore Campus) and several options at the Water Tower Campus that charge a daily rate. There is also permit street parking that is available at certain times of the day.
  • No parking is permitted in the loading dock areas or on campus unless it has received the approval of Conference Services administration and/or Campus Safety.
  • Conference Services staff is not responsible for any vehicle left unattended, as well as any items in a vehicle or tickets issued to a driver of a vehicle left in an unauthorized campus area.

Prohibited Items

  • Items that jeopardize safety, facility, event, and/or program enjoyment are strictly prohibited. These items include, but are not limited to:
    • Aerosol Cans
    • Air Horns
    • Alcoholic Beverages (outside of designated area)
    • Animals (except for people with disabilities)
    • Wine Skins
    • Bullhorns
    • Confetti Guns or Cannons (unless approved by Student Center administration)
    • Fireworks
    • Firearms or Weapons
    • Knives
    • Illegal Drugs
    • Skateboards, Rollerblades, Bicycles, Skates
  • Conference Services administration reserves the right to remove any items in violation of this policy and security guidelines.
  • Exceptions must be approved by Conference Services administration.

Property Damage

  • All groups using Loyola’s campus spaces are responsible for any and all damages in the facility resulting from their event or activity. Conference Services administration reserve the right to bill any organization or department for damages or losses resulting from using or misuse of the facilities.
  • Suspending materials from the ceiling or light fixtures is prohibited, as are decorations, displays or exhibits that require flames.
  • Conference Services staff does not assume responsibility for damage to or loss of any materials left behind by a group.
  • Paint, especially spray paint, is prohibited in campus facilities. Exceptions must be approved by Conference Services administration.
  • Dancing is prohibited in Piper Hall mansion as these are the original wood floors.

Regulations and Safety

  • The sponsoring organization/department of an event hosted in campus facilities is responsible for both the safety of persons attending and for returning the rooms back to their original condition.
  • Alteration to the permanent structure of spaces (including walls, ceilings, seating, floors, window treatments, fixtures, screens, and electricity) are not permitted. Any damage costs will be charged to the group at the replacement/repair cost.
  • Aisle ways must be kept clear at all times during programs. Seating and standing in aisle ways during a program is a violation of fire codes.
  • Exits must open readily and be accessible at all times. During the period of use, no required exit door may be fastened so that the door cannot be opened from the outside.
  • No doors may be covered in paper so as to limit the visual access for safety concerns.
  • No access to the back hallways or kitchen areas will be granted to anyone other than authorized personnel.

Security

  • University Campus Safety serves as the primary method of safety for all campus facilities.
  • All emergencies and evacuation procedures for the campus facilities are made in conjunction with Campus Safety administration.
  • Campus Safety is responsible for the opening/closing of facilities and make final decisions (in conjunction with Conference Services administration) as to who is allowed in campus facilities.

Sign & Banner Posting

  • No sign and/or advertisement should be attached to walls, glass, windows, floors, elevators, etc.
  • No sign should be painted on any campus facilities, hallways, elevators, staircases, and entrances.
  • All signage outside of the permanent facility signage within campus facilities must be approved by Conference Services staff. These signs include vinyl banners, sandwich boards, easels, white boards, poster board, and fliers.
  • Any directional signage must be placed on campus by Conference Services staff. Under no circumstances should event organizers place on their own.

Smoking

  • Smoking is not permitted anywhere inside campus facilities. This includes e-cigarettes.
  • Smoking is not permitted within 15 feet of the entrance to any campus building in accordance with state law.

Storage

  • Conference Services staff will not be responsible for any damage, theft, or loss of any items left or stored in the facilities.
  • Conference Services facilities have very limited storage. No meeting rooms or event spaces will reserved for the sole purpose of storage.
  • The storage or setup of items in these rooms must be removed at the end of the event, unless arranged differently with Conference Services staff.
  • Mechanical rooms MAY NOT be used as storage space.

Weapons/Firearms

  • The possession of, use or storage of any firearm, ammunition, explosive device, or other deadly weapon in any form is prohibited on any Loyola owned or operated facility.  The only exception to this policy are weapons carried by police officers.
  • “Weapons” include, but are not limited to, martial arts weapons, knives, bows and arrows, air guns, shot guns, BB guns, paintball guns, rifles, pistols, and any other weapon that has the ability to cause bodily harm.
  • Any faculty, staff, contracted staff, student, or guest on campus determined to have violated this policy is subject to disciplinary action.

Window Postings/Coverings

  • Groups using Loyola facilities may at no time place, tape, glue, tack or support anything that blocks a window, doorway or entrance way.
  • No signs, unless given the approval of Conference Services staff, can be taped to any window that is not part of an office suite.

If minor Permitted Occupants or other minors are present in or otherwise use the Rooms or the Residence Facility, then Sexual Molestation Coverage shall be included in the Commercial General Liability Insurance or be separately provided with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate.
  2. Umbrella/Excess Liability Insurance with minimum limits of $3,000,000 per occurrence and $3,000,000 in the aggregate excess of primary general liability insurance and on a following-form basis.

The Organization shall provide Loyola with certificates of insurance evidencing all of the above required insurance on the date it submits this signed Agreement to Loyola, which date shall be prior to the start of the Term. The Organization agrees that such insurance will not be modified or terminated without the Organization providing Loyola with thirty (30) days’ prior written notice. All insurance shall be written by insurers licensed to do business in the State of Illinois, shall have a current minimum A. M. Best rating of A-/VII, and shall be primary with respect to any other insurance or self-insurance afforded to Loyola.

At its option, the Organization, and/or its Permitted Occupants, may wish to obtain personal property insurance covering loss or damage to its/their personal property which is not the responsibility of Loyola, as further described in Section 14 below.

Loyola University Chicago-Campus Space Usage Policy

Preamble

Loyola University Chicago strives to be a welcoming community and advance discussion, learning, and engagement through the use of its facilities on five campuses.  Each year, Loyola welcomes conferences, seminars, community meetings, and speaker presentations that advance our common interests in the pursuit of knowledge and encourage dialogue and discussion on a variety of topics.

With over 2 million square feet of space across the Water Tower and Lake Shore Campuses alone, the university also has an obligation to ensure that its facilities are well maintained and secured, that the needs of our guests on our campuses are met, and that, in doing so,  the university is appropriately prepared, compensated, and protected.

The Campus Space Usage Policy is intended to ensure that Loyola can continue to serve the various needs of our campus community while at the same time outlining specific protocols that will help sponsors, planners, and event organizers appropriately consider the operational impact, cost and advance notification necessary for a successful event.

Overall Policy Statement

Ownership of all Loyola University Chicago space/facilities belongs to the University, rather than individuals, units, or departments. It is assigned for specific functions that support Loyola’s educational mission and strategic goals set by the University.

The use of University-owned facilities is primarily reserved for students, faculty, and staff in the normal daily operations of our educational enterprise.  Events, conferences, seminars, and talks that complement our educational landscape will be accommodated if appropriate on-campus space is available and under the parameters of this Campus Space Usage Policy.  The university president and provosts reserve the right to deny access and use of university facilities for any event, conference, seminar, or talk they believe is inconsistent with Loyola’s Jesuit and Catholic identity and mission. All properties, buildings, and spaces (both indoors & outdoors) on all campuses are included in this policy.

The use of university space is a privilege.  It comes with the expectation that the individual department, school, or division using or sponsoring the use of the space:

  • RESPECT university property, and;
  • RECOGNIZE that the set-up, security, insurance, guest and participant accommodations, and audio-visual support do not come without cost. 

Space Usage Categories

Internal university use- The event, performance, conference, seminar, talk, etc. is presented by and attended by faculty, staff, or students of Loyola only.  The event is not open to the general public or any other group other than faculty, staff, or students. No registration fees, conference fees, or membership fees are required for anyone to attend the event and the appropriate university department is primarily responsible for the program, its promotion, and execution.  It is typically hosted by an academic department, student organization, services unit, or division. External sponsorships are not permitted; this would also include an outside organization to pay for the catering of an event and to reimburse the department hosting the event.

Sponsored event- The event, performance, conference, seminar, talk, etc. is hosted by an appropriate University department or departments, school, division, or student organization and may be promoted and marketed to a broad external group, typically, but not always listed under the name of an association or agency, (e.g. Society of Professional Journalists, American Association of Accounting Professionals, Society of Historians, etc.)  Typically, but not always membership in an organization, conference, or admission fee is charged to attend.  Speakers and/or guests must also include Loyola faculty, staff or students. For they category to apply, the hosting department must be present during the event and work with Conference Services on logistics. If not, it is considered an external event/activity.

External event- The event, performance, conference, seminar, talk, etc. is promoted and executed by an external organization or association that desires to use the University’s facilities, housing accommodations and other amenities for its program.  Loyola students, faculty or staff may or may not have an interest or role in the program and typically, but not always, registration fees, membership, or admission fees are charged by the organizers of the event.

Fees, insurance, and guest accommodations

The set-up, usage, cleaning, and maintenance of university space are handled through the facilities department and our outside housekeeping contractor, Millard Services.  Fees may be incurred for room preparation and take-downs for internal and co-sponsored events if they exceed the standard room setup or require support beyond the capabilities of the space.  However, to encourage academic departments, divisions, and schools to engage with outside associations and bring them to Loyola and Chicago to host their events, Conference Services can assist and has instituted a two-tiered rate structure for room rental fees, clean-up, and associated requirements.

Fees

Internal events – Most setups are complimentary especially if an event uses the existing standard room setups.  Additional fees may apply if the setup exceeds the existing configuration capabilities. If equipment and resources are brought in to support the event, the sponsoring department will be notified of additional expenses and will have the option to work with the existing university resources or assume payment responsibilities for the additional support.

Sponsored events -rates apply to those sponsored events hosted on campus by a University department or departments, school, division, or student organization and are designed to cover the actual costs only of personnel and set-up and takedown of requested rooms.  Typically fees are 50% of the external event rate.

External events - rates apply to those external events whose organizations contact conference services directly for use of our space, campus amenities, and, in some cases, overnight accommodations, for their members or audience.  These rates are competitive with other conference venues in Chicago including local hotels.            

Insurance

Certificates of Insurance must be provided for any sponsored or conference event held on any of Loyola University’s campuses.  Conference Services is equipped to answer questions on the form and requirements of such insurance certificates.

Guest accommodations

Sponsored or conference events are expected to work with Conference Services to address any needed guest accommodations such as parking, overnight rooms or special needs.  Unless otherwise negotiated via a Conference Services agreement, all guests will be responsible for the cost of any on-campus parking, overnight accommodations or other special requirements.

Alcohol

  • Open alcohol is strictly prohibited in the common areas of the campus.
  • Exceptions to this include Ireland’s (lower level) and event spaces that have a catered alcohol presence
  • The sale of alcohol is only to be tendered by Ireland’s staff in Ireland’s and LU’s Deli staff at LU’s Deli (Terry Student Center). All other event spaces on campus must have their alcohol catered by Aramark.

Camera and Video Recording

  • Filming on Loyola’s campuses are only allowed with proper clearance from Conference Services and a filming contract will be issued and fees will be assessed.
  • All Loyola staff, faculty, and students must give verbal and/or written consent to be video recorded.

Catering

  • Loyola University Chicago’s preferred caterer is Aramark. No external food or beverages may be brought on campus. For more information please contact Loyola’s Catering Department at 773.508.6035 or catering@luc.edu.

Children

  • Children under the age of 13 years of age should not be left unattended at any time and should have appropriate adult supervision while on campus.

Decorations (Events)

  • Under no circumstances should anyone tape or affix decorations to any wall, railing, wood, metal, glass, paint, ceilings, floors, etc.
  • Balloons are prohibited on campus. Loyola University Chicago does not permit balloons within buildings or released into the outdoors since they become trash in Lake Michigan and endanger wildlife.
  • No rice or corn may be thrown at weddings/ events on campus as this endangers wildlife.
  • Open flames are not permitted in most buildings on campus. All requests for open flame must be made in writing to Conference Services administration for review.
  • All decorations must be completely removed and cleaned after an event. Failure to do so may result in a clean-up fee.
  • All decorations must be flame retardant.
  • The use of glue, thumbtacks, or adhesive on the walls, ceilings, frames, columns, or staging for attaching any materials are not permitted unless by special permission from Conference Services administration.
  • The use of paint (outside of banner décor) is prohibited on campus.
  • Smoke or fog machines are not permitted unless approval is gained from Conference Services administration.
  • No chalk or stickers may be used on campus sidewalks.
  • Suspending materials from the ceiling or light fixtures is prohibited, as are decorations, displays, or exhibits that require a flame.
  • All delivery of items is the responsibility of the organizers of the event and a designated individual from the event must be present to receive the delivery.

EMS Services

  • Campus Safety is the sole provider of EMS services on campus.
  • Conference Services administration may determine, without the consent of an event organizer, that an event requires EMS services. In this event, Conference Services administration will render payment for these services (if necessary).
  • Event organizers interested in acquiring EMS services for their can contact Conference Services administration.

Elevators

  • Loyola Facilities Management and Engineering departments control the use of elevators on Loyola’s campus.
  • Please report all elevator issues to Conference Services staff who will notify Facilities Management of the issue immediately.
  • In the event that you are stuck in an elevator, please call for assistance using the RED emergency call button located within each elevator.
  • In the event that an elevator is not functioning, please notify Conference Services staff/administration immediately.

Film Screening

  • The screening of any copyrighted movie is illegal without obtaining the Public Performance Rights for the film. This policy pertains to all spaces on campus.
  • Showing films as part of a class or for instructional purposes is allowed, and Performance Rights are not needed (face-to-face exemption).

Open Flames

  • Open flames within campus venues are prohibited unless approval is granted by Conference Services administration.
  • Exceptions may be given for religious events and programs and catered events (heat).
  • In the event of approval of open flame, groups must make every reasonable attempt to conceal the flame in a safe way (height, width, location of flame).

Parking

  • When planning or attending an event on campus, all guests must park in accordance with University parking policies available from Loyola University Chicago Parking Services. These policies can be found at: www.luc.edu/parking
  • Loyola has 2 main parking garages (Lake Shore Campus) and several options at the Water Tower Campus that charge a daily rate. There is also permit street parking that is available at certain times of the day.
  • No parking is permitted in the loading dock areas or on campus unless it has received the approval of Conference Services administration and/or Campus Safety.
  • Conference Services staff is not responsible for any vehicle left unattended, as well as any items in a vehicle or tickets issued to a driver of a vehicle left in an unauthorized campus area.

Prohibited Items

  • Items that jeopardize safety, facility, event, and/or program enjoyment are strictly prohibited. These items include, but are not limited to:
    • Aerosol Cans
    • Air Horns
    • Alcoholic Beverages (outside of designated area)
    • Animals (except for people with disabilities)
    • Wine Skins
    • Bullhorns
    • Confetti Guns or Cannons (unless approved by Student Center administration)
    • Fireworks
    • Firearms or Weapons
    • Knives
    • Illegal Drugs
    • Skateboards, Rollerblades, Bicycles, Skates
  • Conference Services administration reserves the right to remove any items in violation of this policy and security guidelines.
  • Exceptions must be approved by Conference Services administration.

Property Damage

  • All groups using Loyola’s campus spaces are responsible for any and all damages in the facility resulting from their event or activity. Conference Services administration reserve the right to bill any organization or department for damages or losses resulting from using or misuse of the facilities.
  • Suspending materials from the ceiling or light fixtures is prohibited, as are decorations, displays or exhibits that require flames.
  • Conference Services staff does not assume responsibility for damage to or loss of any materials left behind by a group.
  • Paint, especially spray paint, is prohibited in campus facilities. Exceptions must be approved by Conference Services administration.
  • Dancing is prohibited in Piper Hall mansion as these are the original wood floors.

Regulations and Safety

  • The sponsoring organization/department of an event hosted in campus facilities is responsible for both the safety of persons attending and for returning the rooms back to their original condition.
  • Alteration to the permanent structure of spaces (including walls, ceilings, seating, floors, window treatments, fixtures, screens, and electricity) are not permitted. Any damage costs will be charged to the group at the replacement/repair cost.
  • Aisle ways must be kept clear at all times during programs. Seating and standing in aisle ways during a program is a violation of fire codes.
  • Exits must open readily and be accessible at all times. During the period of use, no required exit door may be fastened so that the door cannot be opened from the outside.
  • No doors may be covered in paper so as to limit the visual access for safety concerns.
  • No access to the back hallways or kitchen areas will be granted to anyone other than authorized personnel.

Security

  • University Campus Safety serves as the primary method of safety for all campus facilities.
  • All emergencies and evacuation procedures for the campus facilities are made in conjunction with Campus Safety administration.
  • Campus Safety is responsible for the opening/closing of facilities and make final decisions (in conjunction with Conference Services administration) as to who is allowed in campus facilities.

Sign & Banner Posting

  • No sign and/or advertisement should be attached to walls, glass, windows, floors, elevators, etc.
  • No sign should be painted on any campus facilities, hallways, elevators, staircases, and entrances.
  • All signage outside of the permanent facility signage within campus facilities must be approved by Conference Services staff. These signs include vinyl banners, sandwich boards, easels, white boards, poster board, and fliers.
  • Any directional signage must be placed on campus by Conference Services staff. Under no circumstances should event organizers place on their own.

Smoking

  • Smoking is not permitted anywhere inside campus facilities. This includes e-cigarettes.
  • Smoking is not permitted within 15 feet of the entrance to any campus building in accordance with state law.

Storage

  • Conference Services staff will not be responsible for any damage, theft, or loss of any items left or stored in the facilities.
  • Conference Services facilities have very limited storage. No meeting rooms or event spaces will reserved for the sole purpose of storage.
  • The storage or setup of items in these rooms must be removed at the end of the event, unless arranged differently with Conference Services staff.
  • Mechanical rooms MAY NOT be used as storage space.

Weapons/Firearms

  • The possession of, use or storage of any firearm, ammunition, explosive device, or other deadly weapon in any form is prohibited on any Loyola owned or operated facility.  The only exception to this policy are weapons carried by police officers.
  • “Weapons” include, but are not limited to, martial arts weapons, knives, bows and arrows, air guns, shot guns, BB guns, paintball guns, rifles, pistols, and any other weapon that has the ability to cause bodily harm.
  • Any faculty, staff, contracted staff, student, or guest on campus determined to have violated this policy is subject to disciplinary action.

Window Postings/Coverings

  • Groups using Loyola facilities may at no time place, tape, glue, tack or support anything that blocks a window, doorway or entrance way.
  • No signs, unless given the approval of Conference Services staff, can be taped to any window that is not part of an office suite.
